how does this whole process work?”

If you are new to the process of planning and scheduling a campus event, or if you’d just like to get a brief overview of how our scheduling process works, take a minute to read the section below and then click the “Step One” button above to proceed. Thanks!

Engagement Scheduling Process

Step 1: Submit an ‘Engagement Confirmation Request’

Our office will process your request, usually within 24 hours, and email out an Engagement Confirmation Package for you to fill out and return to us via fax or email.*

Step 2: Complete & Return your ‘Engagement Confirmation Package’

The package will contain an Engagement Contract, Program Rider, W-9 Form and Venue and Technical Requirements page. After you have completed and returned the signed documents as indicated, your event will be officially confirmed on our Engagement Calendar.

Step 3: That’s it! Your Done!

Of course, once you finish scheduling your engagement we then move on to the process of dealing with ‘The Devil’ in all those details! You know, the little things that can either make or break a successful campus event! But not to worry! Once you are officially on our Engagement Calendar you can manage all of those details right here on-line through the “Manage My Scheduled Engagement” link on this website!

There you will find checklists, tips and resources to help you deal with the details involved in planning and executing a successful event. We figure that if we make it easy for you to ‘cover all the bases’ in planning and coordinating your event, it will make life easier for you and for us, and we’ll all walk away from a successful campus program with big smiles on our faces! So, if you’re ready, let’s get started!

*Once we receive your Engagement Confirmation Request, we will immediately record your date on our Engagement Calendar, which has the effect of taking the date(s) and ‘program time block’ requested out of our “inventory” of available time and dates. When we receive a signed copy of our Engagement Agreement (included in the Engagement Confirmation Package) your event will be officially confirmed and scheduled on our Engagement Calendar.
